Job description

*ONLY OPEN TO CURRENT FULL-TIME ANNUALLY PAID PARKS EMPLOYEES* Major Responsibilities

  • Under general direction, with wide latitude for independent initiative and judgment, perform difficult and complex administrative work for the Manhattan Borough Commissioner.
  • Manage the Manhattan Borough Commissioner’s calendar strategically to maintain an efficient and effective schedule, exercising sound judgment in prioritizing competing demands, independently handling frequent reprioritization and coordinating meetings and appointments accordingly.
  • Initiate and coordinate meetings and conference calls and prepare necessary materials.
  • Utilize data provided by the Manhattan Borough Commissioner and Borough Commissioner’s staff to create and maintain spreadsheets and charts.
  • Assign and review briefing materials, PowerPoint presentations and reports for the Manhattan Borough Commissioner.
  • Coordinate travel arrangements and other logistics for key meetings and other activities in collaboration with office staff and other divisions.
  • Direct and maintain information flow to the Manhattan Borough Commissioner for timely response.
  • Organize files and materials for review.
  • Research, prioritize and follow up on incoming issues and concerns addressed to the Manhattan Borough Commissioner and recommend an appropriate course of action, referral or response.
  • On behalf of the Manhattan Borough Commissioner, communicate directly with all divisions, other city agencies and key agency partners.
  • Assist in gathering information and preparing correspondence on behalf of the Manhattan Borough Commissioner and the Borough.
  • Draft correspondence and respond to constituents, elected officials, community boards and others on behalf of the Manhattan Borough Commissioner before established deadlines. Following up and closing out correspondence in the tracking system.
  • Provide general office support: assist with copying, answering phones, maintaining files and other duties.
  • Assist the Manhattan Borough Commissioner and Borough Commissioners staff with special projects as needed.

Minimum Qualifications

  • A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
  • High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
  • Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.

Preferred Skills

  • At least two to five years of experience in directly supporting senior executives, complex coordination of activities, management or comparable experience.
  • Excellent writing and verbal communication skills.
  • Ability to work independently as well as collaboratively with colleagues.
  • Exceptional organizational skills, including the ability to manage multiple tasks and projects simultaneously while meeting deadlines.
  • Experience handling sensitive and confidential information.
  • Proficiency in Microsoft Office suite, Excel, Access and PowerPoint.
  • Familiarity with Manhattan Parks and Borough priorities.
  • Valid New York State driver license.

Residency Requirement

Residency in New York City, Nassau, Orange, Rockland, Suffolk, Putnam or Westchester counties required for employees with over two years of city service.

New York City residency required within 90 days of hire for all other candidates.
