Job description

The Special Office Assistant assists with transportation, office services, and maintenance requirements of the Executive Chamber’s Administration offices in Albany and New York City. This position will require a high level of confidentiality and discretion.

Frequent travel between the Albany and NYC offices and throughout New York State, including after hours and weekends, will be required as needed.

Duties:

Primary responsibilities will include:

  • Driving a fleet vehicle for the local and inter-office transport of personnel, equipment, and other physical assets.
  • Assisting with set-up/breakdown of spaces for events, including press conferences, bill signings, and various meetings for the Governor and Executive Chamber staff.
  • Assisting with execution of fleet vehicle maintenance including gas refueling, dropping off/pick-up of vehicles for required service work; and ensuring overall vehicle cleanliness.

Other related duties may include:

  • Assisting with securing employee and visitor parking, as needed.
  • Assisting with the acquisition of assets and logistics for office moves.
  • Submitting building work order requests for general office maintenance.
  • Maintaining accurate furniture and equipment inventory.
  • Coordinating mail/shipping procedures and supply requests with mailroom staff in NYC office.
  • Issuing and tracking keys provided to staff.
  • Organizing and managing emergency go bags for staff, including inspection and replenishment of contents.

Minimum Qualifications

At least three years of relevant experience in areas such as warehouse and inventory operations, fleet or parking management, mail room and/or printing operations, or related duties. Possession of a valid NYS Driver’s License and ability to lift at least 50lbs is required.
