The Administrative Assistant 1 in the Bureau of Early Interventions will provide support for the tracking of documents through the Correspondence Tracking System, Excel and other databases as applicable; manage executive staff calendars; schedule and make arrangements for webinars and presentations for in-person meetings/conferences; answer the Bureau's telephone lines; process travel plans for the Bureau Director and Early Intervention Coordinating Council members; complete photocopying & faxing as needed; and assist with special projects as assigned.
Transfer Opportunity: Current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee

Administrative Assistant Trainee 1 (Grade 8): High school diploma or high school equivalency diploma and six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.
Administrative Assistant Trainee 2 (Grade 10): High school diploma or high school equivalency diploma, and one year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
Administrative Assistant 1 (Grade 11): High school diploma or high school equivalency diploma; and two years of the above experience.
A certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.
The selected candidates must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.
Preferred Qualifications: Knowledge of the State Financial System, excellent written and verbal communication skills, strong organizational skills and able to prioritize multiple assignments and to work cooperatively in a team based setting while also being able to work independently, ability to use Microsoft Word and Excel applications and other database applications and resources
