Sample summary

Use the structure, not the exact wording.

Known for clean document control, steady vendor coordination, and meeting packets that arrive complete before the meeting starts.

Why this example works

- The summary quickly signals relevant experience and hiring value.

- The bullets focus on outcomes and clear execution instead of vague task lists.

- The skills align with the language employers commonly use in job descriptions.

Sample experience bullets

Keep your own bullets specific, measurable, and role-relevant.

- Manage three executive calendars across two time zones and resolve roughly 15 scheduling conflicts a week without sending them back up.

- Book domestic travel for 12 staff and close the corporate card reconciliation within four business days of each statement.

- Maintain the department's contract and policy files on the shared drive under a naming and retention convention the whole team follows.

- Coordinate office vendors, from cleaning and coffee service to the print and badge contracts, and track every renewal date before it lapses.

Common mistakes

- Listing software as a skill without saying what you built in it, so a reviewer cannot tell a mail merge from a pivot table.

- Describing calendar work as scheduling meetings without naming how many calendars, whose they were, or how many time zones were involved.

- Leaving out travel, expenses and vendor work, which is often the part of the job the hiring manager most needs covered.

- Writing support duties in the passive voice so nothing on the page reads as something you personally owned.

How to adapt this sample

  • Name your software the way you used it rather than as a list. Write the mail merge you ran, the expense system you reconciled in, the shared drive you reorganized, and the spreadsheet formulas you work with daily. A hiring manager reads Excel on a hundred resumes and learns nothing from it, while a pivot table you built for a monthly budget review tells them exactly what you can do.
  • Replace the calendar figures with your own and say whose calendars they were. Three executives across two time zones is a different job from one manager in one office, and the number of people you scheduled around is what a reviewer uses to place you. If the meeting rooms, the conference bridge and the catering orders were also yours, keep that line on the page.
  • Be exact about how far your travel and expense ownership went. Booking flights is not the same as administering a travel policy, and submitting your own expenses is not the same as reconciling a card program for a dozen people. Write what you were genuinely trusted with, including approvals you prepared but did not sign, and leave the rest off the page entirely.
  • Say which function you supported by name: finance, legal, engineering, facilities, a clinical team. Administrative experience reads as generic until the department is attached, and the vocabulary you already know is part of what an employer is buying. Add the vendor, office and document work you carried alongside the calendar, because that is often the gap the role was opened to fill.

Administrative Assistant resume FAQ

A short summary, then each position with the function you supported, the calendars and travel you owned, the systems you worked in, and the document or vendor work you carried. Keep it to one page. Give every entry an employer descriptor, a location and dates, and attach a number to the scope: how many executives, how many travelers, how many people in the department. Administrative experience reads as generic until those figures are on the page, and they are the fastest way for a hiring manager to tell a two-person office from a forty-person one.

Calendar and meeting coordination, travel booking, expense reporting, document control and records retention, vendor and office coordination, and confidential correspondence. Name your software beside what you did with it: the mail merge, the expense platform you reconciled in, the shared drive you reorganized, the spreadsheet you maintained for a monthly review. Add minute-taking, purchase orders, onboarding logistics for new hires, and anything you were trusted with that required discretion. A hiring manager is deciding how much of their week they can hand over, so the list should read like work you already run without supervision.

Use standard headings, a single column, no tables, text boxes or icons, and export as PDF or Word. Keep one position per block with the employer descriptor, location and dates on their own line, because two-column layouts reorder your history when software reads the file. Spell software names out rather than abbreviating them, and reuse the posting's wording for duties you genuinely performed, such as calendar management or expense reconciliation. Write figures as plain digits with the period attached, then open the exported file once to confirm it is selectable text rather than a flat image.

Yes. You start from an empty resume in the recommended design and fill it with your own employers, dates, calendars and figures; nothing from the fictional sample on this page is copied into your document. AI suggestions appear while you write, and each one can be accepted, edited or ignored, so the wording stays in your voice rather than a template's. Export to PDF or Word for free when you are finished, and change the design or the page size later without rewriting anything you have already entered.

Be specific, and stop at what you actually owned. Instead of listing Excel, write the report you built in it; instead of proficient in scheduling software, name the platform, say how many calendars you ran and across how many time zones. The same applies to travel and expenses: booking flights is different from administering a travel policy, and submitting your own expenses is different from reconciling a card program for a dozen people. Interviewers test these claims with a practical question or a short exercise, so write the version you can demonstrate on the day.
