Sample summary

Use the structure, not the exact wording.

Receptionist covering a six-line phone system and a lobby that receives about 70 visitors a day at a 200-person office. Known for a calm desk: badges issued correctly, deliveries routed within the hour, meeting rooms booked without collisions, and messages detailed enough to act on.

Why this example works

- The summary quickly signals relevant experience and hiring value.

- The bullets focus on outcomes and clear execution instead of vague task lists.

- The skills align with the language employers commonly use in job descriptions.

Sample experience bullets

Keep your own bullets specific, measurable, and role-relevant.

- Answer a six-line phone system and route about 120 calls a day, taking messages detailed enough that the callback needs no second explanation.

- Greet and badge roughly 70 visitors a day, checking each name against the day sheet and notifying the host before the visitor sits down.

- Hold and referee 14 meeting rooms, releasing no-show bookings so the afternoon blocks stay usable for the rest of the office.

- Log couriers, certified mail and equipment deliveries the same hour they arrive, with a signed handover for anything valuable.

Common mistakes

- Writing answered phones with no line count, no call volume, and no mention of what happened to the message afterwards.

- Leaving out visitor, badge and access work, which is the part of the front desk a facilities or security manager cares about.

- Describing the lobby and skipping the systems behind it, such as the phone platform, the visitor log and the room booking tool.

- Treating the desk as passive greeting when the real skill is holding a queue of interruptions without losing any of them.

  • Kept the waiting room informed during provider delays instead of letting the desk go quiet and the questions pile up.
  • Filled same-day cancellations from a standing waitlist across three provider templates so fewer slots went unused.

How to adapt this sample

  • Put the phone system on the page by name and say how many lines you covered and how many calls arrived in a normal day. A two-line desk at a small practice and a switchboard for a two-hundred-person building are not the same job, and nobody can tell which one you did from the words answered phones. Add whether you took and routed messages or transferred blind.
  • Write the visitor side as a process, not a greeting. Say how many people you checked in on a normal day, what you verified before letting them through, whether you issued temporary badges or day passes, and who you notified. If you handled contractors, deliveries or anyone needing an escort, keep it in, because access control turns a front desk into a security responsibility.
  • List the work the desk quietly absorbed: conference room bookings, catering orders, couriers and certified mail, supply requests, parking validation, the seating chart, the office phone list. Front desk jobs are defined by whatever nobody else picked up, so the list differs at every employer and yours is the evidence. Name the tools too, including the visitor log and the booking system.
  • If you have never worked in an office, use the job you have. Retail counters, salon desks, hotel lobbies, dispatch rooms and school offices all involve holding several interruptions at once without dropping any of them. Describe the traffic, the phone volume and the hours you covered the desk alone, then state your availability and your typing speed if you have honestly measured it.

Receptionist resume FAQ

A short summary, then the desk itself: the phone system and how many lines, the call and visitor volume on a normal day, and whatever else the front desk absorbed. Keep it to one page. Name the office type and its size, because a two-line desk at a small practice and a switchboard for a two-hundred-person building are different jobs. Give each position an employer descriptor, a location and dates, and keep one line about the systems behind the desk, such as the visitor log, the badge process and the room booking tool.

Multi-line phone handling, visitor check-in and badging, meeting room booking, mail and courier handling, calendar support and front-desk scheduling. Name the phone platform and the visitor or booking system, since an office manager estimates your first week from those. Add the quiet skills that keep a lobby working: message accuracy, discretion about what you overhear, and holding several interruptions at once without losing any of them. If you covered a second language at the desk, took payments, validated parking or issued contractor passes, say so, because those duties vary most between employers.

Use standard headings, a single column, no photos or text boxes, and export as PDF or Word. Put one job per block with the employer descriptor, location and dates on separate lines, because columns and tables scramble a front-desk history when it is parsed. Write the phone system and any visitor or scheduling software out in full rather than as initials, and mirror the posting's language for duties you really performed, such as visitor management or switchboard coverage. Keep volumes as digits with a period attached, and check the exported file opens as selectable text.

Yes. The sample here is fiction and none of it travels across: you begin from an empty resume in the recommended design and type your own offices, dates, call volumes and duties. Suggestions from the assistant are offered line by line, and you can take one, rewrite it, or leave it alone, so the finished page sounds like you rather than like an example. PDF and Word export are free, and you can move to a different design or page size at any point without losing the content you entered.

Give the numbers you have: lines on the phone, calls in a typical day, visitors checked in, rooms you kept booked. If the desk never counted any of it, say so and describe the traffic as a range you can defend. With no office experience yet, use the counter, lobby or dispatch work you have done, because the underlying skill is the same: several interruptions at once, a queue of people who can all see you, and nothing allowed to drop. State your availability, add your typing speed if you have measured it, and keep the page to one side.
